List of Responsibilities:
- Coordinate, prepare and compile bid submission documents in relations to tendering/bidding activities, tender questionnaires, and pre-qualifications;
- Organize and harness the efforts of all involved departments relating to tendering/bidding activities and contract review; (Legal, HSE, HR, Finance)
- Coordinate customer’s bid requirements within the various departments such as QMS, HSE, technical, etc., collate and compile all queries and requests for additional information for communication to Business Development Personnel.
- Vet through incoming tenders and to note down tender due date, project start and end date, tender submission instructions/requirement, and mode of submission.
- Monitor and ensure that tender submission due dates are strictly adhered to, including the checking, binding, packing, and preparation of outgoing submissions.
- Ensure that tender submissions are standardized in terms of format, font, logo, etc., and in line with customer’s and/or company’s tender requirements.
- Undertake special assignments, ad-hoc projects and related duties as and when required.
- Complying with the Company’s HSE regulations and policies.
Additional Job Scope:
- Learning and fully understanding the data landscape in databases and applications in order to develop and manage business intelligence solutions for the organization
- Reviewing and validating data to provide reports through office applications to improve business processes
- Collaborating with team members for the purpose of collecting data and executing the company’s mission
- Communicating insights to senior management and across the organisation
- Analysing business requirements and processes and recommending them to the management and executives for implementation
- Identifying the development needs for the purpose of streamlining and improving the operations of the organization for efficiency and profitability
- Working on weekly rotating shifts in UK/US time zones to support global tender needs.
Requirements:
- Very good command of English
- Bachelor's degree preferably in Science
- Minimum one year experience in Procurement function
- Advanced analysis and proficiency in MS Office Applications
- High level of accuracy and attention to details
- Integrity and strong interpersonal skills
- Reliable, mature and work cooperatively and flexibility to fulfil individual and team performance
- Good time management, resourceful and able to perform under tight deadlines
- Independent, resourceful and take initiatives
- Experience in Oil & Gas industry is highly desirable
